Guangzhou Kaisan Trading Co., Ltd. operates thecopierparts.com as a B2B wholesale supplier of copier and printer parts. The following terms govern all commercial shipments, returns, and quality disputes. By placing an order with us, you accept these terms in full. If you require terms that differ from those stated below, please contact us at info@thecopierparts.com to negotiate a separate agreement before placing your order.
All orders are shipped FOB (Free On Board) our warehouse in Guangzhou, China, unless otherwise agreed in writing. The buyer bears all freight charges, cargo insurance, customs clearance fees, and any other costs associated with the transportation of goods from our warehouse to the final destination.
We reserve the right to select the carrier and shipping method (air, sea, courier) best suited to the order size, destination, and urgency. Estimated delivery times provided at the time of order are estimates only and are not guaranteed delivery dates. We shall not be liable for any delays caused by carriers, customs clearance, weather events, or other circumstances beyond our reasonable control.
Risk of loss or damage to the products passes to the buyer at the moment the carrier takes possession of the goods at our shipping dock. Once the shipment leaves our facility, any claims for loss or damage must be pursued by the buyer directly with the carrier.
Certain products listed on our website are subject to minimum order quantities (MOQs). MOQs are displayed on the relevant product pages or will be communicated during the quotation and inquiry process.
Orders placed below the applicable MOQ may be subject to a small-order surcharge to cover handling and administrative costs. We reserve the right to cancel or reject any order that does not meet the stated MOQ at our sole discretion.
The buyer is solely responsible for all import duties, value-added taxes (VAT), goods and services taxes (GST), customs brokerage fees, and any other government-imposed charges associated with the importation of goods into the destination country. We do not collect, remit, or prepay such charges. Delays or additional costs arising from customs inspections, documentation errors by the buyer's broker, or failure to pay applicable duties are not our liability.
All products are manufactured and inspected in accordance with ISO 2859-1 (AQL — Acceptable Quality Limit) standards. For bulk commercial orders, the following defect tolerances apply:
The buyer must inspect all goods within seven (7) business days of receipt. Any claims for defects or non-conformance must be submitted in writing to info@thecopierparts.com within this inspection period, accompanied by photographic evidence and the original order number. Failure to inspect within the stated period constitutes acceptance of the goods.
Upon delivery, the buyer or their authorized representative must inspect all packages immediately. If there is visible damage to the outer packaging, note "damage" on the carrier's delivery record before signing.
Any damage discovered after opening must be reported within forty-eight (48) hours of delivery. Reports must include:
Keep all packaging materials and the damaged items in their original condition until the carrier has completed its inspection. Failure to preserve the evidence may void your claim.
Customized orders, bulk production runs, and special-order items are non-refundable and non-returnable unless they are found to be defective beyond the AQL tolerances stated above.
Standard stock items may be returned within fourteen (14) calendar days of delivery, subject to a restocking fee calculated as follows:
To initiate a return, contact info@thecopierparts.com with your order number and reason for return. We will issue a Return Merchandise Authorization (RMA) number. Returns shipped without an RMA number will be refused.
Return shipping costs are the buyer's responsibility and are non-refundable. We recommend using a trackable shipping method. The buyer assumes all risk of loss or damage during return transit.
Upon receipt and inspection of the returned goods, we will process the refund within fourteen (14) business days. Refunds are issued to the original payment method, less the applicable restocking fee and any original outbound shipping charges.
If a returned item does not meet the conditions above (i.e., is not in resalable condition, is missing components, or shows signs of installation or use), we reserve the right to deny the refund or assess an additional fee.
